1. Who we are
This website is operated by Meparsoft Ltd (“Meparsoft”, “we”, “us”), a company registered in the United Kingdom, with its registered office at 20 Wenlock Road, London, N1 7GU, UK. Meparsoft is the controller of the personal data described in this policy.
For any question about this policy or about your personal data, write to data@meparsoft.com.
2. Data we collect
We collect only the personal data needed to run this website and to respond to the people who contact us:
- Contact and project enquiries: when you use one of our forms, your name, email address, company name (if given), the reason for contact or the service and timeline you select and the content of your message, together with the page you sent it from, the language of the site and the date and time you gave your consent. When you email us directly, your email address and the content of your message.
- Correspondence: the content of any further emails or calls about your enquiry.
- Security check data: when you submit a form, an anti-spam security check verifies that the request comes from a person and not an automated program. For this, the provider of the check processes technical information such as your IP address and browser characteristics.
- Technical data: limited information your browser sends when you visit the site, such as IP address, browser type, date and time and the pages requested, recorded in server logs for security and reliability.
- Visit statistics: to understand how the website is used, we count visits with a privacy-friendly statistics service: the pages viewed, the referring website, browser, operating system, device type and approximate location (country, region or city). The service does not use cookies or store anything on your device, does not store your IP address and does not follow you across other websites. We only see aggregated figures.
We do not ask for special categories of personal data, and we ask you not to include them in your messages.
3. How we use it
- To respond to your enquiry and discuss a possible project or collaboration.
- To prepare a proposal or contract at your request.
- To keep a record of the consent you give when you send a form.
- To protect our forms from spam and abuse, and to keep the website secure and working properly.
- To understand, through aggregated statistics, how the website is used and to improve it.
- To meet our legal, tax and accounting obligations.
We do not sell personal data, we do not use it for advertising or profiling, and we do not use it for automated decision-making.
4. Legal basis
We process personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 and, for visitors in the European Union, under the EU General Data Protection Regulation (EU GDPR). We rely on the following legal bases:
- Steps before a contract, when you ask us about a project or a proposal.
- Legitimate interests, to answer general enquiries, to produce aggregated visit statistics, to protect our forms with a security check and to keep the website secure.
- Consent, which you give when you submit a form. You can withdraw it at any time by writing to data@meparsoft.com; this does not affect processing carried out before you withdrew it.
- Legal obligations, for example to keep accounting records.
5. Who we share it with
We share personal data only with service providers that help us operate the website and our business, under contracts that require them to protect it and to use it only on our instructions:
- Cloud infrastructure providers, which run the service that receives form submissions and delivers them to us by email.
- The provider of the anti-spam security check on our forms.
- The provider of our visit statistics service, which processes the data within the European Union.
- Our website hosting and content delivery provider and our email service providers.
We may also share personal data with professional advisers, or with public authorities where the law requires it.
6. International transfers
Some of our service providers are based in the United States or may process data outside the United Kingdom and the European Economic Area. When this happens, transfers rely on appropriate safeguards, such as adequacy regulations or decisions (including the UK Extension to the EU–US Data Privacy Framework) or standard contractual clauses.
7. How long we keep it
- Enquiries that do not lead to a working relationship: up to 24 months after our last contact, then deleted.
- Client relationships: for as long as the relationship lasts and then for the period required by law, normally six years for accounting and tax records.
- Server logs and security check data: for a short period, normally no longer than 90 days, unless they are needed to investigate a security incident.
- Visit statistics: the information that could link visits from the same device is deleted within 24 hours; after that, the statistics can no longer be linked to you.
8. Cookies and local storage
This website does not use cookies for analytics, advertising or tracking. The visit statistics described above work without cookies and without storing anything on your device.
When you choose a language with the EN / IT switch, your choice is saved in your browser’s local storage so that the site can remember it. It is not used for tracking and you can delete it at any time from your browser settings.
The security check on our forms is used only to tell people and automated programs apart, not for advertising or tracking. If this changes, we will update this policy and ask for your consent where required.
9. Your rights
Depending on where you live, you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data deleted;
- restrict or object to its processing;
- receive your data in a portable format;
- withdraw your consent at any time.
To exercise any of these rights, write to data@meparsoft.com. We will reply within one month.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection authority (ico.org.uk). If you live in the European Union, you can also contact the data protection authority of your country; in Italy, the Garante per la protezione dei dati personali (garanteprivacy.it).
10. Security
We use appropriate technical and organisational measures to protect personal data, including encrypted connections, restricted access and regular updates to the systems we use.
11. Children
This website and our services are intended for businesses and adults. We do not knowingly collect personal data from children.
12. Changes to this policy
We may update this policy from time to time. The date at the top of the page shows when it was last changed.
